Website & support privacy

This notice explains how personal information is handled when you visit the FinchSoft website or contact our team. It does not replace the separate privacy notice for any released app.

Information from website visits

Our website is hosted using Cloudflare Pages. When your browser requests a page, Cloudflare processes technical information needed to deliver and protect the website, including your IP address and information about the request, connection and browser. This may include the page requested, time, browser headers and referring page, where provided by your browser.

We use this service to make the site available and protect it from abuse. Our lawful basis is our legitimate interest in operating a reliable, secure business website. Cloudflare also describes its network-data processing, retention criteria and responsibilities in its privacy policy.

Cookies and analytics

We have not added advertising pixels, third-party analytics scripts, embedded social-media feeds or optional tracking cookies. There is no customer login, checkout or mailing-list signup on this website. Cloudflare may use necessary security technologies or cookies when protecting the service; its cookie documentation explains these. If we introduce optional tracking in future, we will explain it and obtain consent where required before it runs.

When you email us

We receive your email address, name if supplied, message and any attachments you choose to send. We use them to answer questions, provide support, investigate problems and record their resolution. Our company mailbox is provided by IONOS. Email links on this site open your own email application; no contact form submits information in the background.

Our lawful basis for ordinary enquiries is our legitimate interest in running and supporting the business. Where a message concerns a contract with you, we may also process information necessary to fulfil that contract. We process records where required to meet a legal obligation.

Please send only what is needed for your enquiry. Do not send passwords, card details or private recordings. Asking for help does not subscribe you to marketing emails.

Who receives information

Access is limited to authorised people who need the information to handle an enquiry or operate the website, and the service providers involved. Cloudflare provides hosting and network security; IONOS provides our company email service. We may disclose relevant information to professional advisers or authorities where necessary to meet a legal obligation or establish, exercise or defend a legal claim. We do not sell personal information.

International processing

Cloudflare operates a global network, so technical information can be processed outside the United Kingdom. Cloudflare states that it uses the UK Extension to the EU–US Data Privacy Framework for eligible transfers to the United States and contractual safeguards where applicable. Its data processing terms provide further details. Information handled by our service providers is subject to their applicable data-processing arrangements; you can contact us to ask about safeguards relevant to your information.

How long information is kept

We keep correspondence while dealing with your enquiry and afterwards only where needed for follow-up, a continuing service relationship, a dispute or applicable record-keeping requirements. We consider the nature of the enquiry, whether it has been resolved and whether a legal obligation or claim requires continued retention. Information that is no longer needed is deleted.

We do not maintain a separate visitor-tracking database. Cloudflare retains technical information according to the purposes and retention criteria in its privacy policy, including service operation, security and legal requirements. Those periods can differ by data type; we do not represent them as a single fixed period.

Security

The website uses HTTPS to protect information in transit. We restrict access to support correspondence and use appropriate account and access controls. No service can promise absolute security. Please contact us promptly if you believe information has been sent to us in error or exposed.

Your rights

Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction of processing or a portable copy. You may object to processing based on legitimate interests. Where processing relies on consent, you can withdraw that consent without affecting earlier lawful processing. Rights are subject to applicable conditions and exceptions.
